Step 1. Prepare your Ashby Account and Import File

Before importing your file into Ashby we highly recommend thoroughly reviewing and cleaning your file. If you’d like to add candidates to specific jobs, sources, and interview plan stages you’ll need to ensure those are already set up in Ashby and that is reflected in the file. For this reason, we recommend completing setup with the Ashby Admin Onboarding guide before completing this step.
As you are preparing your file, there are a few things to know:
- Ashby uses both Sources and Source Types. Source Types are top-level values that Sources are nested under to simplify reporting. To add a source you must also include a source type. These should already be added here in Ashby Admin before importing.
- In Ashby, Sources and Source Types are associated with a Job Consideration or Application. This means the Job must exist before importing and there must be a column in your file with an exact name match for the job. If you haven’t already, use this guide to set up your jobs.
- Your jobs must be set up and open in Ashby for candidates to be added to them. You can archive any historical jobs once the import is complete.

Step 2. Import File

Upload .csv and map fields
This gif shows the steps involved in uploading and mapping the file fields to the candidate profile fields:
- Upload the file. Make sure the file meets the following criteria to successfully upload:
- The file must be in .csv format
- Each column must have a header
- The file must use comma delimiters
- The file must contain the same number of columns in every row.
