Application Forms Overview

Your account comes with a default application form that can be customized to include the questions you’d like to see on most of your jobs. This application will automatically be included on each job, but you can create alternate applications and link those instead. You also have the option to customize the application form on a job posting.

Customize the default application form

Your Ashby account has a simple default application form that is automatically included in all job postings. This application form can be customized and used as the starting point for all subsequent application forms.

To customize the default application form:

  1. Navigate to Application Forms in Admin
  2. Locate the Default Application Form
  3. Edit the existing questions, or scroll to the bottom of the form to add new ones

Create application forms in Admin (recommended)

Your Ashby account has a simple default application form that is automatically included in all job postings. You can create more application forms for your jobs or teams here in Admin.

To create a reusable application form that can be linked to many jobs:

  1. Navigate to Application Forms in Admin
  2. Click New…, then give your form a title
  3. Click Add Question to add a field
  4. Select the field type, then input the prompt. Fields types supported are:
    1. Short Answer Single line of unformatted text. LinkedIn url responses will be auto-populated on the candidate's profile.
    2. Long Unformatted Answer Multiple lines of unformatted text
    3. Phone Only domestic or international phone numbers
    4. Email Only valid email addresses
    5. Multiple Choice Select a single option
    6. Checkboxes Select multiple options
    7. Date Only dates that can be selected via a date picker
    8. Yes/No Yes, no, or, if not required, no answer
    9. Number Only allows whole numbers (e.g. 1) or decimals (e.g. 1.5)
    10. Resume* Upload a single file and set it to the candidate's resume field. Can only be added once to a form
    11. Candidate's location Set the candidate's location. Can only be added once to a form
    12. File Upload a single file
    13. Location Input a location

You can also reorder questions and sections by either clicking and dragging them, or by using the Reorder button on the form and determining the question order from there.

Question settings

Required fields

All form question types support making the fields required. To enable check Required at the bottom of the question tile.

Private fields

Some form question types support private fields. These fields are visible to candidates, but their responses are only visible to Organization Admins and users with Elevated Access - Admin Private permissions on a job.

To enable, check the Private checkbox at the bottom of the question tile.

Change the application form associated with a job posting

All job postings will use the default application form in your account, but you can either switch to a different application form template or edit the linked form and make it unique to the job.

To switch to a different application form on a job posting

  1. Navigate to the job, then Job Postings
  2. Select the job posting, then navigate to the Application Form tab
  3. Click Change Link and switch to a different application form template
