In this guide, we'll cover how to set up a structured interview process within Ashby. Structured interviewing involves setting up your interview process to ensure each candidate that is considered for a job is assessed in the same way. Research has found that running a structured interview process better predicts job performance and reduces the impact bias has on hiring decisions.

Ashby facilitates building a structured interview process by adding schedule templates to the interview plan associated with a given job. Schedule templates are where you add the details for each structured interview, including detailed interviewer instructions, feedback forms, and standardized candidate communication.

Schedule templates

When you add a Schedule Interview activity to your interview plan, you'll automatically be prompted to configure the Schedule Template. Schedule templates are where you add the details for each structured interview including detailed interviewer instructions, feedback forms, standardized candidate communication. The rest of this guide will detail how to create and configure a schedule template.

Creating a schedule template

To create a schedule template, navigate to the job settings page for a job you want to configure, then click on Interview Plans. Click + Activity, then Schedule Interview.

Once you've created the schedule template, you'll have the option to either link to an existing shared interview or create a new interview for the job. Use shared interviews for meetings that happen across different jobs, like an intro call or a hiring manager screen. Create new interviews for meetings that are unique to a job like a technical interview. More on this at What are ‘Shared’ Interviews, Application Forms, and Feedback Forms?

Configuring a schedule template

There are four tabs within a schedule template that can be configured: Schedule, Communication, Meeting Hours, and Direct Booking. Meeting Hours and Direct Booking are only needed if you're using the direct booking feature*.* Indicators in the top-right corner will show whether or not direct booking links or candidate availability links can be generated for the activity automatically.

Set the schedule

On the Schedule tab, you'll add one or more interviews along with their interview instructions and feedback forms. You’ll also be able to assign specific interviewers or pools of interviewers to each slot on the panel.

Along with assigning your own pools to interviewer slots, you’ll also have the option to select Hiring Team Roles and pull users with those roles on job considerations to be on the panel. Please note that these hiring team roles are assigned within each job’s settings, and these roles are not pulled from the permissions set on a user’s profile on the Employees page.

If you're adding multiple interviews within one schedule template, it will use the same meeting link across all interviews. If you're using Zoom, we recommend setting up a separate Zoom account that can be used as a meeting room.
