Public booking links overview

Public Booking Links allow your team more flexibility in scheduling with leads, candidates, and people not yet added to Ashby. Like Direct Booking Links, these links are associated with a specific job and interview stage. If a person isn’t in Ashby yet, they’ll be added as a candidate to the appropriate job and stage upon booking.

They could be used when initially reaching out to gauge a lead’s interest in a role - for example, offering to meet with them to talk further about the role and their experience via LinkedIn InMail. When they schedule via the public booking link provided, they are automatically added to Ashby, considered for the role and moved to the appropriate stage so these actions don’t need to be completed manually.

What happens when a lead books with a direct booking link?

Here’s a table covering how Ashby responds to a lead booking via a public booking link, based on whether they’re already in Ashby and being considered for a role or not.

Configure public booking links

During setup, make sure you have set a Meeting Request Organizer and the Schedule template is Direct Booking link compatible.

Navigate to the Interview Plan page on an open Job and click Edit on a Schedule Interview activity.

Under the Direct Booking & Candidate Availability tab you’ll see the Enable Public Booking Link setting. Once enabled, a reusable link will appear. You can regenerate or disable the link at any time

Scheduling on a public booking link

When someone receives a Public Booking Link they will go through a scheduling flow similar to Direct Booking.

Once they have confirmed their time, there will be a requirement at the end to submit contact information.

Note: a phone number field will appear if it’s a phone interview.

Once this is filled out Ashby will automatically set up the candidate, job consideration, interview schedule and create calendar events.

1. A candidate is created or updated once they submit via the Public Booking Link
2. A job consideration is created automatically
3. The interview scheduled with invites sent out and calendar events created
4. The correct interview stage is assigned based on the Public Booking Link

Note: Candidates will still have a unique meeting url they can cancel or reschedule the interview.
